Microsoft Copilot in production planning

For planners and production managers: schedules, workload analysis, shift reports and communication between departments.

Copilot · 1 day · online or in person

For your manager

Business objective
Reports from data without evenings of retyping
Who it is for
Production planning department staff (production planners, production managers, planning coordinators) who want to use AI in practice to support scheduling, production data analysis and team communication.
What the team will be able to do
  • Analysing workload and delays from planning spreadsheets
  • A shift report and a briefing note in a few minutes
  • Copilot in Excel and Teams in a planner’s work
Duration and format
1 day, online or at your premises. Exercises on the participants’ own tasks, not examples from the internet.
Tool
Copilot. I run the programme on the tool the company uses or plans to use.
Data security
In every programme: what may be shared with an AI tool and what stays in the company.
Indicative cost
From PLN 4,997 per day of in-company training, up to 15 participants, final price, no VAT added. The final quote depends on the scope, format and location of the training. VAT-exempt supply (Art. 113 of the Polish VAT Act).

Key information

Duration1 training day
Formatin person or online, workshop-based
Target groupProduction planning department staff (production planners, production managers, planning coordinators) who want to use AI in practice to support scheduling, production data analysis and team communication.
Group sizeup to 10 people
Methodsshort theory + group exercises, work on examples prepared by the trainer, moderated discussions
Materialstraining materials and materials for independent work after the training

The programme demonstrates working in Microsoft Copilot as the core tool. The KREDO method and the 4D method of responsible AI use transfer directly to other language models: ChatGPT, Gemini or Claude. If the team uses a tool other than Microsoft Copilot, we deliver the programme in that tool without changing the substantive scope; this only requires confirmation before the training (see the section “To be confirmed before the training”).

Objective

The objective of the training is to introduce participants to the practical use of AI in the everyday work of the production planning department: from data analysis and scheduling, through communication with other departments, to conscious and responsible use of AI. The training emphasises building real prompting skills and critical evaluation of AI output.

Learning outcomes

  • The ability to build effective prompts using the KREDO method
  • Practical knowledge of AI applications in scheduling, reporting and production department communication
  • An understanding of the framework for responsible use of AI (the 4D method: Delegation, Description, Discernment, Diligence)
  • Knowledge of data security and the principles of the AI Act

Programme

Module 1: The basics of generative AI and responsible use of AI

  • Sharing participants’ experience: how they use AI today
  • Key concepts: prompt, context, context window, hallucination
  • Comparing AI tools: Microsoft Copilot vs ChatGPT vs Gemini: when to use which
  • The 4D method (Delegation, Description, Discernment, Diligence): a framework for responsible use of AI
  • Data security: Copilot M365 (company) vs public tools
  • The AI Act: the four risk levels in a nutshell

Module 2: Prompt engineering: the KREDO method

  • The anatomy of an effective prompt: the KREDO model
  • Live demonstration: scenarios from the work of the production planning department (meeting summary, correspondence with procurement, variance report)
  • Techniques for correcting AI responses and generating options to choose from
  • Fast models vs advanced reasoning models: when to use which
  • The “one conversation: one thread” rule
  • Practical exercises: building KREDO prompts on scenarios prepared by the trainer

Module 3: Microsoft Copilot in practice

  • Scheduling the production plan and analysing machine utilisation in Excel
  • Reporting variances from the production plan
  • Communicating with the purchasing department and the warehouse about material availability in Outlook
  • Notes from production meetings in Teams: extracting tasks and decisions
  • Updating work instructions and procedures in Word
  • Preparing production reports for management in PowerPoint

Trainer

Franciszek Kołpanowicz: entrepreneur and certified AI trainer. He has been published in Rzeczpospolita, among others. He has over 2,000 hours of experience working with generative AI and has shared his knowledge at public events, including the “Manager in the Age of AI” training organised by Rzeczpospolita and at the UKEN and PASE conferences. His background in philosophy (Jagiellonian University) and his experience in IT quality control allow him to combine analytical thinking with asking the right questions. In training sessions he pays attention above all to the participants, drawing on their experience and needs as the work unfolds.

Organisational requirements on the client’s side

  • Each participant works on their own laptop, signed in to a work Microsoft 365 account
  • Stable Wi-Fi in the room, sufficient for all participants (in-person format)
  • A projector or large screen for the trainer’s presentation (in-person format)
  • A room that allows workshop-style work: tables, space for notes (in-person format)
  • A flipchart or whiteboard with markers (in-person format)
  • A video conferencing platform with screen sharing, e.g. Teams or Zoom (online format)

The training works exclusively with one AI tool: agreed before the training, so that within one training day participants have time to genuinely master it in the context of their own work, rather than just watch a few demos.

To be confirmed before the training

The base programme assumes working in Microsoft Copilot. The licensing questions below concern this option: if the team works in another AI tool (ChatGPT, Gemini, Claude), please let us know before the training so that we can select the appropriate scope of questions and exercises.

Licences and access:

  • Does every participant hold a Microsoft 365 Copilot licence? A Microsoft 365 account alone is NOT the same thing. Without this licence, Copilot does not work in Office applications.
  • Does every participant have their OWN licence, or do they share one account?
  • Which version of Microsoft Outlook do participants use? (classic vs new) The Copilot interface differs between versions.
  • Is the Copilot add-in visible in the Office applications of every participant?

Participants’ technical readiness (CRITICAL):

  • Every participant must arrive with an M365 account already signed in on their own laptop: we do NOT set up accounts in the training room
  • Please run a test before the training: each participant opens copilot.microsoft.com and checks that they can ask a question and receive an answer
  • If any participant does not have access to Copilot: please let us know in advance and we will discuss an alternative route

Infrastructure:

  • Stable Wi-Fi tested under load (10 people working simultaneously in the browser and Office applications): applies to the in-person format
